Pickup and delivery

How to declare the areas you serve at home, what pickup costs, and who in the workshop does the runs.

If you collect bikes from customers and drop them back, this tab tells the app where you go, what it costs and who does it. From then on the delivery charge works itself out when you take on a job at a customer's address.

When it is on you'll find it under SettingsPickup & Delivery (it needs the manage_workshop permission), and a Pickup & Delivery entry appears in the sidebar for the day-to-day work.

Coverage zones#

A zone is a group of postcodes you serve on the same terms. For each one you set:

  • Zone name — whatever you call it: "Centre", "Inner suburbs".
  • Postcodes — comma separated. You can use a prefix with an asterisk: 201* covers every postcode starting with 201, without listing them.
  • Fee — what pickup and delivery costs in that zone.
  • Free over — the threshold above which the fee drops to zero, if the order total exceeds it. Optional.
  • ETA — the rough minutes it takes to reach the zone. Optional.
  • Active — a tick to suspend a zone without deleting it.

Zones are added from the row at the bottom of the table and removed from the icon on the right, after a confirmation.

It pays to start with a few wide zones and tighten them later, once you've seen where you actually go. One zone fewer is easier to explain on the phone than three zones that look alike.

The global free-delivery threshold#

The Global free-delivery threshold card is the safety net: it applies to every zone that has no threshold of its own. Above that amount, pickup and delivery are free.

Leave it empty if you don't want any automatic free delivery. If a zone has its own "free over", that wins over the global threshold.

Riders#

In the last card you tick who, among the active members of your team, does deliveries. Anyone ticked is offered first when you assign a pickup or a drop-off.

It's a suggestion, not a restriction: the run stays assignable to anyone on the team, ticked or not. For people's shifts and availability see team and shifts.

Common problems#

I can't see the “Pickup & Delivery” tab.

The feature isn't on for your workshop: it's a switch we flip, it doesn't depend on your plan. Write to us and we'll look at it together.

The app says the customer's address isn't covered.

That address's postcode doesn't fall into any active zone. Check that you listed it among a zone's postcodes, that the zone is ticked as active, and — if you use prefixes — that the asterisk really covers that postcode.

I set a zone threshold but the global one still applies.

The zone's Free over field is the one that takes precedence: if it's empty, the global threshold applies. Fill it in on the zone and save.

I unticked a member of staff and they can still do deliveries.

That's correct: the tick only decides who is offered first. Pickups and deliveries stay assignable to the whole team.
