Stock locations

As long as you keep every part in one place, stock is just a number. The moment you load a van for home visits, that number stops telling the truth: ten inner tubes in total are no use to you if eight are in the van and two are at the counter.

Locations solve this: they are the physical places where goods actually sit. You manage them from Stock›Locations. Stock management requires Premium.

What a location is#

A location is a storage point of the workshop. You create as many as you need (within your plan's limit), each with:

• a name — "Shop", "Van 1", "Cellar";
• a type — Shop, Van or Other;
• an optional manager, picked from your team.

You reorder the list by dragging the ⠿ handle. Entries are edited in place; a location can be deactivated to set it aside without deleting it.

The default one is untouchable#

One location, and only one, is the default. It's where goods end up when nobody said where to put them, and it's marked with a badge in the list.

The default cannot be deactivated: the checkbox is disabled on purpose. If you want another location to take over the role, first make the new one the default — there's a dedicated control on the row — and at that point the old one becomes an ordinary location again.

Stock lives per location#

An item's quantity is no longer a single number: it's the sum of what sits in each location. In the stock list you can expand a row and see the breakdown by location, with each one's type and quantity. If you've set a reorder point for that location, it shows next to it as min.

Moving parts between locations#

A transfer starts from the item's row: you pick the source location, the destination and the quantity.

Two rules are worth remembering:

• the destination must be active: you can't park goods in a switched-off location;
• the source may also be frozen, precisely so you can get out whatever was left inside.

If you ask for more pieces than the source location holds, the transfer is refused: stock never goes below zero.

Every stock movement is recorded, and an item's history opens from the Movements button on its row. The reasons are: receipt, sale, work order, transfer, adjustment, stocktake and return.

Plan limits and frozen locations#

How many locations you can keep active depends on the plan: Free one, Premium two, Pro three, Enterprise unlimited. Above the list you always see a counter of how many you're using.

If you move down a plan and end up with more locations than allowed, the extra ones are not deleted: they are frozen, and appear in the list labelled "Frozen · plan limit". Freezing starts with the most recent ones and never touches the default.

A frozen location behaves like this:

• the stock stays where it is, it doesn't move and it isn't lost;
• that stock is not sellable while the location is frozen;
• you can't reactivate it by hand: it unfreezes by itself when you go back to a plan that includes it;
• if you don't want to wait, the move the stock into the default location control empties it in one go, recording the movements.
